Within Step 3, you can specify key RFP contacts and recipients.
Copy Carrier Contacts
You can either build each carrier contact, outlined in the "Carrier Recipients" section below, or you may copy carrier and contact details from previous RFPs. This can be especially helpful if you have certain carrier partners or RFP strategies where you frequently request quotes from the same carriers.
After selecting Copy Carrier & Contact Details, you will be able to view previously sent RFPs with details about when the RFP was created, in which state the group is located, the RFP title, CC & BCC recipients, and Carrier & contact details. Please hover over any fields for more details.
To copy the RFP recipients, select the radio dial to the left of the RFP, make any adjustments to the check boxes, and click Copy Details in the bottom right.
Key RFP Contacts
To accommodate renewals where multiple parties are involved, a Broker of Record can be specified that may be different from the person creating and sending the RFP from PerfectQuote.
The Broker of record will default to the PerfectQuote user working on the RFP, but can be updated to any other person (such as a colleague, partner, GA etc.). This will indicate the broker of record to the carrier.
The NPN will default to the NPN of the PerfectQuote user working on the RFP, but can be updated to any other value.
The CC field will always include the email of the PerfectQuote user working on the RFP, but additional email addresses can be added. These email addresses will be copied on RFP emails to ALL carriers.
Similar, BCC email addresses will be copied on RFP emails to ALL carriers.
Enter CC and BCC email addresses of stakeholders that need to be looped into all RFPs.
Carrier Recipients
All carriers for your current plans (of the prior effective year) will be automatically set up by default, with the products active based on that carrier's current plans. However, products can be removed and added based on your marketing needs.
You can also add and delete carriers as needed.
For each carrier:
- Specify the products to market.
- Only current plan details for the selected products will be sent to each carrier.
- Enter the Send to email addresses.
- Emails can also be pasted directly.
- After an email address is entered, it will be stored in a user-specific address book at the carrier level. So the next time you create an RFP for a given carrier (for any group), any email recipients that have previously specified for that carrier will be auto-suggested as you enter characters and can be selected.
- Email can also be removed from the address book memory by tapping the "X Forget" link next to an auto-suggested email.
- Message to carrier
- This will only be sent to that carrier's recipients.
