Group Workflow Dashboard

The Group Workflow Dashboard gives your team a centralized view of every group’s renewal status so you can quickly understand where to focus and what action needs to be taken next.

This view is designed to help you stay organized, prioritize effectively, and move groups through the renewal process with less manual tracking.

What You’ll See

The dashboard highlights two key indicators:

  • Renewal Date– When the group renews next, as set in the group profile
  • Progress – Where the group currently sits in the renewal workflow

This makes it easy to:

  • Identify groups that need immediate attention
  • Understand what step is outstanding (quoting, presentation, confirmation)
  • Stay ahead of upcoming renewals

Status Indicators

The dashboard helps you quickly identify urgency:

  • On Track – Progress is aligned with the renewal timeline
  • Late (Red) – Plans have not been confirmed at least 30 days prior to renewal
  • Not Started – No renewal activity has begun

How Groups Are Ordered

Groups are automatically sorted to help you focus on what matters most:

  • Groups are ordered by Next Renewal date, starting with the most immediate
  • If a renewal date is not set, PerfectQuote will attempt to determine it using:
    • Confirmed plans
    • Plans in Presentation
    • Plans in Plan Explorer

If a plan is found, the system uses its effective date to estimate the renewal timing.

Taking Action from the Dashboard

Each group includes clickable progress indicators that take you directly to the next step:

  • Quoting: Opens the census to begin quoting
  • Presentation: Opens Plan Explorer to add plans
  • Confirmed Plans:  Opens the Presentation to finalize and confirm plans

Clicking anywhere else on the row will take you into the group’s Census, consistent with the existing workflow.

Managing Missing Renewal Dates

If a group does not have a renewal date:

  • You’ll see an option to add the renewal date directly from the dashboard
  • Selecting it opens a quick-edit pop-up
  • If plans already exist, suggested dates will be provided

You’ll also have the option to mark the group as inactive if it’s no longer relevant.

Groups with Multiple Renewal Dates

Some groups may have different products renewing at different times.

In these cases:

  • A yellow alert icon will appear next to the renewal date
  • Hovering over the icon will show the different effective dates

 

FAQs

  • Why did my group move down the list after the renewal date passed?
    Once a renewal date passes, the group moves toward the bottom of the list. You can still find it using search.
  • Why is my group marked as “Late”?
    A group is marked late if plans have not been confirmed at least 30 days before the renewal date.
  • Did I lose my work if the group now says “Not Started”?
    No. All work remains intact. Once a renewal passes, the status resets to reflect the next renewal cycle.
  • Why does my group show “Quoting in Progress” with no plans visible?
    This typically means RFPs have been sent, even if plans have not yet been added to Plan Explorer.
  • What do the red badges in Presentation mean?
    Red badges indicate products that do not yet have confirmed plans. The number reflects how many products still need confirmation for the upcoming renewal.
